Relane is a service management platform built for HVAC contractors. It converts customer calls and messages into structured service records — including equipment details, job type, and scheduling — and, when authorized, syncs those records to tools such as Google Sheets.

Relane may process:

• Call recordings and transcripts from customer service requests
• SMS and message content related to HVAC service calls
• Metadata (time, duration, phone numbers)

This data is processed only to provide the service, such as generating structured service records (equipment info, issue description, scheduling details) and dispatching summaries.

We use phone numbers solely to deliver service-related communications such as dispatch notifications, appointment confirmations, and account alerts. Phone numbers are not sold or shared for marketing purposes.

We use information to:

• Operate and improve Relane for HVAC professionals
• Generate structured service records from incoming calls and messages (e.g., repair requests, maintenance scheduling, installation inquiries)
• Sync service records to user-authorized tools (e.g., Google Sheets)
• Provide customer support
• Ensure security and prevent abuse

We do not sell personal data.

5. AI & Automated Processing

Relane uses automated systems to analyze user-provided communications (such as phone call transcripts) in order to extract structured HVAC service information — including equipment type, issue description, urgency, and preferred scheduling.

Important clarifications:

• Automated processing is applied only to communications provided via telephony or messaging services (e.g., phone calls, texts).
• Data obtained from Google APIs (including Google Sheets) is never sent to AI or machine-learning services.
• We do not use Google Workspace data to train generalized AI models.

Automated systems:

• Do not make legal or financial decisions
• Are designed to assist, not replace, human review

6. Google Workspace & API Data Use

When you connect a Google account, Relane accesses Google Sheets only to read or write HVAC service records that you explicitly authorize.

• Google user data is used strictly to provide the requested functionality (service record syncing).
• Google user data is not shared with AI model providers or used for advertising.
• Google user data is not used to train machine-learning or AI models.
• Relane’s use of Google Workspace APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

7. Data Sharing

We may share data with:

• Service providers (hosting, telephony, messaging, infrastructure)
• Legal authorities if required by law

All service providers are contractually required to protect data and use it only to provide services to Relane.

8. Data Retention

We retain data:

• While your account is active
• As needed to provide the service
• As required by law

You may request deletion of your data at any time, subject to legal or operational requirements.

9. Security

We use reasonable technical and organizational measures to protect data. No system is 100% secure, and we cannot guarantee absolute security.
